Gastec & Building Services Ltd: Payment Terms, Quotations, Service Guarantee, Health and Safety, and General Policies

1. Payment Terms

1.1 Invoicing and Payment

Invoices will be issued for the full amount upon completion of services at each visit (except consecutive days). Payment is due within 7 days of invoicing, and all transactions will be in Pounds Sterling. Ownership of materials is transferred only upon full payment.

1.2 Late Payments

Outstanding amounts after 7 days will incur interest at 8% above the Bank of England base rate per annum, calculated daily. Legal action may be pursued for unresolved payments.

1.3 Charges for Time and Materials

Charges for work done on a time and materials basis will include the cost of materials and labor based on our published pricing. The time charge begins upon site entry, and any time extending into the next hour (beyond 5 minutes) will be rounded up to the full hour.

1.4 Additional Charges

Parking, congestion, and low emission zone fees incurred during the work will be billed to the customer, along with any distance charges for travel beyond 5 miles.

1.5 Staffing

At least one qualified plumber/heating engineer and one assistant will be assigned to each job. Additional personnel may be deployed if necessary, with prior notice to the client.

1.6 Collection Fees

Collection of non-stock items is chargeable; however, collection of materials typically in stock is not. Only one person will retrieve parts unless two are needed for safe maneuvering.

1.7 Call-Out Charges

If access to the property is denied at the scheduled appointment or work cannot proceed due to circumstances beyond our control, a call-out charge will apply. A maximum of 15 minutes waiting time is allowed before cancellation.

1.8 Cancellations

Clients must notify us promptly regarding appointment cancellations. Once travel to the site has commenced, cancellations will incur a call-out charge. A £50 + VAT administration fee may apply for cancellations within 24 hours of the appointment.

1.9 Material Mark-up

GasTec & Building Services reserves the right to impose a mark-up on supplied materials.

1.10 VAT

All prices are subject to the current VAT rate of 20%.

2. Quotations

2.1 Deposit for Quotes

A 50% deposit is required for quoted works exceeding £500 (excl. VAT) before work begins. Payment should be received within 7 days of the deposit invoice or 48 hours before work commences.

2.2 Condition of Existing Systems

Existing plumbing and heating systems must be in satisfactory condition. Additional charges may apply if further work is required to rectify deficiencies, and a revised quotation will be issued.

2.3 Quotation Validity

Quotations are valid for 30 days from the issue date and works must be completed within 60 days of acceptance. Prices may be updated to reflect changes in labor and material costs after this period.

2.4 Quotation Validity

Only quotations on GasTec & Building Services letterhead are valid, and discretion is exercised in providing quotations.

2.5 Right to Cancel

Customers may cancel within 14 days of the contract. Cancellation should be communicated in writing. Deposits will be refunded within 14 business days minus a potential £50 + VAT admin fee.

3. Our Plumbing and Heating Service Guarantee

3.1 Work Standards

All work adheres to relevant industry standards.

3.2 Reporting Non-Compliance

We will report any items found contrary to industry standards and suggest necessary remedial actions.

3.3 Guarantee Period

All new installations are guaranteed for two years. For repairs or modifications to existing installations, a one-year guarantee applies.

3.4 Temporary Repairs

Emergency repairs will not carry a guarantee if a temporary solution is provided.

3.5 Product Warranty

Products supplied have a one-year manufacturer’s guarantee. Replacements for any failures within this timeframe will be provided at no cost. After one year, replacements will be chargeable.

3.6 Pipe Work Installation

Pipe work will be concealed where possible but may be surface-mounted if necessary.

3.7 Making Good

We do not guarantee making good plasterwork or decorations post-installation.

3.8 Precautionary Measures

Clients must take precautions to mitigate dust from the works; we will maintain cleanliness as much as feasible.

3.9 Floor Coverings

Floor coverings may be removed as necessary, but there is no guarantee of their return to original condition.

3.10 Location of Services

Clients are responsible for informing us about concealed water, gas, or electrical services before work starts.

3.11 Liability for Concealed Systems

Liability for undetected plumbing systems is excluded, and you must disclose any hidden systems prior to work initiation.

4. Health and Safety

4.1 Asbestos Notification

Clients must inform us in writing about any asbestos on the premises. We reserve the right to halt work if asbestos is suspected.

5. General Policies

5.1 Imagery Usage

We reserve the right to use photographs of completed works for promotional purposes. If you wish to opt-out, please provide written notice.

5.2 Attendance

We strive to adhere to agreed schedules but accept no liability for delays or non-attendance.

5.3 Pre-existing Conditions

Existing systems must be in adequate condition; otherwise, time spent rectifying issues may be charged.

5.4 Emergency Protocol

All scheduled works will be paused for emergencies until resolved, with the site secured in the interim.
